GO2KILI Booking, Cancellation, Changes, and Refund Policy

Welcome to GO2KILI, the trade name of GOTOKILI COMPANY LIMITED, a company registered in the United Republic of Tanzania. Throughout this document, references to “GO2KILI” mean GOTOKILI COMPANY LIMITED. We are committed to providing exceptional Mount Kilimanjaro climbing experiences while ensuring clarity, fairness, and transparency in our booking process.

This policy outlines our terms for bookings, cancellations, rescheduling, and refunds to balance guest satisfaction with the operational needs of our company. Please read this policy carefully before booking your adventure with us. These booking terms help keep everything fair and transparent for you, our team, and the communities that make your climb or safari possible.

1. Booking & Payment

Deposit

  • To secure your spot, a non-refundable deposit of $500 USD per person is required for Kilimanjaro climbs or safari.

  • For combined climb + safari packages, the deposit is $750 USD per person to cover accommodation and logistics.

Final Payment

  • Your remaining balance is due 60 days before arrival.

  • GO2KILI accepts payments by international bank transfer.

  • Please use the bank details provided on your invoice to complete the transfer. Once payment has been sent, kindly email or WhatsApp your transfer confirmation or receipt so we can verify and secure your booking.

All payments must be made in USD. Bank transfer fees are the responsibility of the sender.

  • Please ensure payments arrive free of bank fees — any shortfall due to transfer or conversion fees will be settled on arrival or with your next payment.

Booking Within 60 Days

  • If you’re booking within 60 days of your start date, full payment is required to confirm your reservation.

Travel Insurance (required)

  • Travel insurance with medical coverage is mandatory for all GO2KILI climbs or safaris.

  • Medical evacuation coverage is mandatory for all GO2KILI Mount Kilimanjaro climbs. It must cover high-altitude trekking (up to 6,000 meters).

  • We also recommend adding trip cancellation and delay coverage for extra peace of mind.

  • GO2KILI is not responsible for losses or costs due to uninsured events, but we’ll gladly provide any documentation needed if you need to file a claim.

2. Lifetime Deposit

Life happens. Your deposit never expires.

If you need to postpone or reschedule, it stays safely on file and can be applied to any future GO2KILI climb or safari. (Please note: future prices may adjust with park fee or supplier changes.)

3. Rescheduling (“Rain-Check”) Policy

We understand plans can change. If you need to move your trip, just email, text or call; and we’ll assist with  shifting to the new dates.

  • More than 60 days before arrival: Your full payment (minus the $500 or $750 deposit) is transferred to your new dates. No additional charges apply.
  • 0–13 days before arrival: You can reschedule your trip, though some hotels or third-party partners may apply small change fees.
  • 0–13 days before arrival: Rescheduling is not possible within two weeks of arrival. All payments are non-refundable due to confirmed logistics and supplier commitments.

Note: The $500 or $750 deposit is non-refundable but can be applied toward a future booking.

Accommodation & domestic flights: Accommodations and local flights follow their own policies. Within 60 days, some may charge penalties — we’ll always do our best to minimize these costs.

4. Cancellation & Refunds

Cancellations must be submitted in writing (via email) to your GO2KILI coordinator. Refunds are processed based on the date we receive your cancellation notice, as follows:

  • More than 60 days before arrival: Full refund minus the $500 or $750 deposit
  • 30–59 days before arrival: 80% refund minus the $500 or $750 deposit
  • 14–29 days before arrival: 30% refund minus the $500 or $750 deposit
  • 0–13 days before arrival: No refund available due to confirmed supplier and logistical commitments

Refund Details

  • Refunds are processed by bank transfer to your nominated account. Any bank fees are deducted from the refund amount.

  • Certain costs (e.g., internal flights, hotel deposits, or third-party services) may be non-refundable under supplier terms.

  • If you hold travel insurance, we’ll gladly provide any supporting documentation needed to submit a claim.

5. Changes to Itinerary During the Climb or Safari

  • If you choose to shorten or extend your climb or safari, no refunds will be issued for unused days, as logistics are pre-arranged based on your original itinerary.
  • Shortening your climb or safari may result in the loss of pre-booked accommodations, and any additional accommodation costs will be your responsibility.
  • Extending your climb or safari may incur additional costs (e.g., park fees, staff wages), payable upon completion of the climb. Pre-booked accommodations lost due to an extended climb are non-refundable.

6. No-Shows and Travel Delays

GO2KILI climbs and safaris are private and personalized, which gives us some flexibility to adjust logistics if travel delays occur. If your inbound flight is delayed or rescheduled, please contact us as soon as possible. We’ll also be monitoring your arrival to stay updated and will do everything we can to coordinate a new start time with your crew.

Please note that National Park permits are issued for specific start dates and/or routes. In some cases, a new permit or additional park fees may be required if your climb or safari start is significantly delayed.

7. Force Majeure (unforeseen events)

If events beyond our control occur such as natural disasters, political unrest, or park closures; we’ll always aim to find the fairest solution for our guests.

  • Rescheduling: We’ll first offer to reschedule your trip at no charge, applying all payments to your new dates.

  • Refunds: If rescheduling isn’t possible, we’ll refund all payments including your deposit, minus any bank transfer fees and non-recoverable third-party costs (such as hotel or permit fees already paid).

  • Additional Costs: GO2KILI isn’t responsible for extra costs like international flights, visas, or insurance claims, but we’ll gladly assist with supporting documents and coordination where possible.
