GO2KILI Booking, Cancellation, Changes, and Refund Policy
Welcome to GO2KILI, the trade name of GOTOKILI COMPANY LIMITED, a company registered in the United Republic of Tanzania. Throughout this document, references to “GO2KILI” mean GOTOKILI COMPANY LIMITED. We are committed to providing exceptional Mount Kilimanjaro climbing experiences while ensuring clarity, fairness, and transparency in our booking process. This policy outlines our terms for bookings, cancellations, rescheduling, and refunds to balance guest satisfaction with the operational needs of our company. Please read this policy carefully before booking your adventure with us.
1. Booking and Payment Terms
1.1 Deposit
- A non-refundable deposit of $100 USD per person is required at the time of booking to confirm your reservation and secure your preferred climb dates.
- For combined climb and safari packages, a deposit of $200 USD per person is required to reserve accommodations and safari logistics.
1.2 Final Payment
- The remaining balance is due 60 days prior to your arrival date.
- You will receive an email with your final itinerary and balance details for approval before payment is processed.
- We accept Visa, MasterCard, American Express, PayPal, wire transfers, and cashier’s checks. All payments must arrive free of bank charges (e.g., SWIFT, conversion, or remittance fees). Any shortfall due to bank fees must be settled upon arrival or added to your next payment.
1.3 Booking Within 60 Days
- For bookings made within 60 days of the start date, full payment is required at the time of booking to secure your reservation.
1.4 Travel Insurance Recommendation
- We strongly recommend purchasing comprehensive travel insurance to cover unforeseen events such as trip cancellations, delays, or medical emergencies. GO2KILI is not responsible for losses due to uninsured events.
2. Lifetime Deposit
- Your deposit is valid for life. If you need to postpone or reschedule your trip, your deposit can be applied to any future GO2KILI climb or safari without expiration, subject to potential price adjustments due to park fee increases or other cost changes.
3. Rescheduling (Rain-Check) Policy
Life is unpredictable, and we strive to accommodate changes to your travel plans. To reschedule your trip, please notify your GO2KILI coordinator in writing. The following fees apply per person:
- More than 60 days before arrival: No rescheduling fee; your full payment (minus the non-refundable deposit) is applied to your new itinerary.
- 10–60 days before arrival: No rescheduling fee; your full payment (minus the non-refundable deposit) is applied to your new itinerary.
- 0–9 days before arrival: No rescheduling allowed; no refunds or transfers are available.
Note: Rescheduling accommodations for safaris or Zanzibar extensions may incur additional penalties if within 60 days of arrival, as these are subject to third-party lodge and airline policies. We will make every effort to minimize these costs but cannot guarantee full transferability.
4. Cancellation and Refund Policy
Cancellations must be submitted in writing (via email) to your GO2KILI coordinator. Refunds are processed based on the date we receive your cancellation notice, as follows:
- More than 60 days before arrival: Full refund, less the $100 USD per person non-refundable deposit (or $200 USD for climb and safari packages).
- 30–59 days before arrival: 80% of the total package cost refunded, less the non-refundable deposit.
- 10–29 days before arrival: 30% of the total package cost refunded, less the non-refundable deposit.
- 0–9 days before arrival: No refunds available.
4.1 Additional Notes on Refunds
- Refunds are processed via wire transfer to an account you nominate in writing. Bank charges and transaction fees will be deducted from the refund amount.
- Non-refunded internal airfare, lodge, or safari accommodation costs may increase the non-refunded amount, as these are subject to third-party policies.
- If you have travel insurance, we will provide documentation of forfeited funds to support your claim, particularly for cancellations due to ill health or injury.
5. Changes to Itinerary During the Climb
- If you choose to shorten or extend your climb while on the mountain, no refunds will be issued for unused days, as logistics are pre-arranged based on your original itinerary.
- Shortening your climb may result in the loss of pre-booked accommodations, and any additional accommodation costs will be your responsibility.
- Extending your climb may incur additional costs (e.g., park fees, staff wages), payable upon completion of the climb. Pre-booked accommodations lost due to an extended climb are non-refundable.
6. No-Shows and Travel Delays
- If you fail to arrive for your scheduled climb or safari due to travel delays or other reasons, no refunds or rescheduling will be offered, as resources (e.g., guides, permits, accommodations) are allocated in advance.
- We recommend scheduling buffer days before and after your climb to account for potential travel disruptions.
7. Force Majeure
In the event of unforeseen circumstances beyond our control (e.g., natural disasters, political instability, park closures), GO2KILI reserves the right to cancel or modify your itinerary. In such cases:
- We will offer to reschedule your trip at no additional rescheduling fee, with your deposit and payments applied to the new itinerary.
- If rescheduling is not possible, we will refund payments less the non-refundable deposit and any non-recoverable third-party costs (e.g., lodge or airline penalties).
- GO2KILI is not liable for additional costs incurred by you (e.g., flights, visas) due to such events.
8. Tipping Guidelines
Tipping is customary in the Tanzanian tourism industry and is at your discretion based on the quality of service. Suggested tipping guidelines:
- Climb: $250–$350 USD per climber, given to the lead guide at the end of the climb for distribution among the team.
- Safari: $10–$15 USD per person per day for the driver-guide; $20–$50 USD per day from the group for a personal cook on budget camping safaris.
- Lodges/Hotels: $5 USD per guest per night, placed in the communal tipping box.
We recommend bringing USD cash for tipping, as it is the preferred currency.
